Scope:
Monitor and maintain FOSSE system and quality of guest services in the department. Prepare department forecast, meet and communicate with other departments to ensure that all guests’ services are met.
Primary Responsibilities:
- Assist with interviewing and selecting all front office staff.
- Schedule staff to ensure maintenance of planned service level.
- Conduct annual appraisals of department staff.
- Maintain training and development program for all front office staff with emphasis on the use on the FOSSE system.
- Conduct departmental staff meeting.
- Review front desk log book for any special request, group cover sheet, problems, etc.
- Develop and submit plan (budget and forecast) for department to Assistant General Manager.
- Monitor department performance-to-date planned performance.
- Monitor and maintain labor costs for the front office department as specified in the hotel plan.
- Produce a weekly occupancy forecast.
- Completes high balance credit report indicating all balances in guest ledger of cash customers with debit balances, and those credit card customers who exceed the credit authorization of property established credit limits.
- Verify accuracy of cash deposits.
- Perform monthly inventory of supplies and equipment.
- Maintain stock of expendable supplies.
- Check accuracy of room revenue report, room rate, guest folios, and telephone charges.
- Monitor billing and collection of credit (credit card billing and city ledger).
- Monitor maintenance of all department equipment to ensure proper operation.
- Monitor and maintain reservations system to ensure adherence to procedures.
- Review new Courtyard marketing systems with staff.
- Monitor Marriott Elite Members program for consistency.
- Handle guest issues promptly and with courtesy.
- Report issues within front office department and issues outside of department to the appropriate manager.
- Monitor adherence to all emergency and security procedures.

Education/ Experience: Previous Front Desk Supervisory experience a must.

Group Sales and Catering Manager |

Scope:
The Group Sales and Catering Manager will be responsible for booking meetings, catered events, and group sales blocks for the SMERF market. The position will document all Banquet Event Orders for hotel functions in this market segment and insure the details are communicated to the Food and Beverage Department and prepare all group room contracts for group blocks in this market segment and insure the details are communicated to the Rooms Department.
Primary Responsibilities:
- Must be customer oriented and ensure guest/customer needs are met and handled properly.
- Demonstrates enthusiasm for selling hotel services and customer interaction.
- Handle in-coming inquires for group rooms, issue group contracts through Delphi, and track group pick up through FOSSE (PMS) and MARSHA (reservations).
- Handle in-coming inquires for catering functions for the hotel, issue catering contracts and BEO’s through Delphi.
- Provide on-site support for hotel function to insure that customer requirements a met.
- Keeps track of budgeted revenue goals on a weekly/monthly/quarterly basis.
- Must have clear, concise written and verbal communication skills to include business letters, proposals, sales contracts and other required documents.
- Must have excellent listening skills.
- Assists DOM in compiling the business plan, annual budgets, sales call quotas, targeted account revenues, and other duties assigned by the DOM.
- Must be able to multi-task and prioritize what needs to be done to meet the day-to-day demands of the hotel environment.
- Communicates internally the accurate information on in-house groups to help hotel associates service their needs completely.
- Work closely with the Food and Beverage department to insure that all hotel functions surpass customers’ needs.
- Other sales-related duties as assigned by the DOM.

- Two years minimum experience preferred.
